Day 1

Account and brand

Create the operator (your LLC), add the first location, upload a logo, pick colors, and point members.yourspace.com at us. Invite staff.

You need: logo file, brand colors, DNS access, staff emails.

Day 1–2

Inventory and rate card

Upload the floor plan and draw every sellable unit: offices, dedicated desks, hot-desk seats, conference rooms, parking spaces, sign panels. Set the rate for each and the membership tiers that include them.

You need: floor plan (PDF or image), rate card, hours of operation, hot-desk oversell ratio.

Day 2

Payments

Connect Stripe (new or existing account), choose invoice day, grace period, late fee, and deposit rules. Connect QuickBooks or Xero and map revenue categories.

You need: EIN, bank account, QuickBooks login.

Day 3

Landlord and lease terms

Enter the lease formula: revenue categories that count, allowed deductions, split percentage, any floor, ramp-up months, escalators, and the target $/SF. Invite the owner and their accountant as read-only users.

You need: the signed lease or LOI, owner contact emails.

Day 3–4

Doors, rooms, and displays

Connect Kisi, Brivo, or Salto and map doors to plans. Plug a streaming stick into each conference-room TV, open the display URL, and pair it with a six-digit code. Set buffer times and no-show rules.

You need: access-control admin login, one Fire TV Stick or Chromecast per room, Wi-Fi for devices.

Day 4

Members (or migration)

New space: publish plans and the tour form, open waitlists. Existing space: send us the CSV export from your current platform; we import members, companies, plans, and open invoices and run in parallel for the final month.

Day 5

Go live

Walk-through on a call, first invoices previewed before they send, room displays checked in every room. Then you're on your own — with support in the app.

Room display setup in detail

1. Hardware

Fire TV Stick, Chromecast with Google TV, or Raspberry Pi. Install Fully Kiosk Browser (or use Chromium kiosk mode on a Pi).

2. Pair

Open display.yourspace.com on the device. It shows a six-digit code; enter it in admin and pick the room.

3. Lock down

Set the app to launch at boot, disable sleep, and put devices on a separate IoT Wi-Fi network. Tokens can be revoked per device.

Frequently asked during setup

Can we start before the space opens?

Yes. Publish plans and a waitlist months ahead, take founding-member deposits, and switch inventory to bookable on opening day.

Do we need a licensed broker to use the landlord portal?

No. The landlord portal reports on a lease you already hold. It does not broker, list, or negotiate anything.

What if our lease has a ramp-up or rent-free month?

Enter it in lease terms. Statements for those months show the calculation and the amount due as zero or the ramp value.

Can members bring their own conference-room calendar?

Yes. Bookings sync to Google Calendar or Microsoft 365, and the room display follows Floorplate360 as the source of truth.

How is hot-desk overselling handled?

Set a ratio per location (for example 2.5 members per seat). Check-ins are counted, and you're alerted when a day approaches capacity.
