Sell a business address without the paperwork becoming a second job
Floorplate360 collects USPS Form 1583 and identification at signup, logs each item of mail as it arrives, and lets the recipient scan, forward, hold or shred from their phone. Every signature and every handover is recorded, and the record exports as a single PDF when someone asks to see it.
Why this is the product that goes wrong
Virtual office is the best margin in a flex space and the easiest to run badly.
A 1583 and two IDs for every single person, kept for as long as they are a customer and beyond. A folder of PDFs works until the fortieth customer.
Intake has to take seconds at the front desk, or it does not happen, and then a member calls to ask where their cheque is.
Passport scans and mail contents are the most sensitive things in the building. A shared drive is the wrong place for them.
How a piece of mail moves
Every step is a recorded transition, so the history of an item is never a matter of memory.
Received
Front desk photographs the envelope. Carrier, sender and whether it looks official are captured with it.
Matched
The envelope is read and a recipient proposed with a confidence score. Staff confirm or correct it in one tap.
Notified
The recipient is emailed and pushed. Anything nobody answers moves to hold-for-pickup automatically after the number of days you set.
Actioned
Open and scan, forward, hold for pickup, or shred — chosen by the member, carried out and closed by staff.
- A photo of the envelope the moment it is logged
- Scan, forward, hold or shred from the portal or the app
- Their scan allowance, and what an extra one costs
- The business address they are entitled to use
- Intake in seconds from a phone at the front desk
- Fees charged to the card on file through Stripe
- A compliance view of who is missing a 1583 or an ID
- An audit PDF per recipient, generated on demand
A forwarding address is held on the member record and outbound tracking is recorded against the item, so the history is complete. Generating prepaid postage labels is on our roadmap and is not built yet — today you buy postage the way you already do and bill it through the item's fee. We would rather say so here than let you find out in week two.
Virtual office questions
What is virtual office software?
Software that lets a coworking or flex-office operator sell a business address as a product. It collects the USPS paperwork required to receive mail on someone else's behalf, logs each item as it arrives, lets the recipient choose scan, forward, pickup or shred, and keeps the audit record a postal inspector can ask for.
Do I need USPS Form 1583 to offer a business address?
If you receive mail on behalf of someone else you are operating as a Commercial Mail Receiving Agency, and USPS requires a completed Form 1583 plus two forms of identification for every recipient before you hand over their mail. This applies to a single mailbox customer as much as to a hundred. Your obligations are yours to confirm; the software collects and stores what the form requires.
How does Floorplate360 handle Form 1583?
It is signed in the app at signup. The exact text the applicant agreed to is snapshotted and hashed, and stored alongside their typed signature, IP address, browser user agent and timestamp. Identification images go to private storage that has no public URL. Each record exports as a single audit PDF with the signed text, the signature evidence and the ID images embedded.
What can a member do with a piece of mail?
Open and scan, forward to an address on file, hold for pickup, or shred. The choice is made from the member portal or the mobile app as soon as they are notified, and each step is recorded. Mail nobody responds to moves to hold-for-pickup automatically after a number of days you set.
Can you charge for scans and forwarding?
Yes. A plan carries a scan allowance, and anything past it is a per-item fee charged through Stripe against the card already on file. Forwarding postage is billed the same way. The fee lands on the item itself, so the member sees what they are paying for.
Is the mail scan private?
Yes, by construction. Envelope scans, contents scans and identification images live in private storage and are never given a public URL — they are served only to the recipient and to staff at that location, and the rule is enforced by the database rather than by the interface.
What does a virtual office plan usually sell for?
At Seagate Works, the first location on the platform, the virtual office plan is $99 a month. Virtual office tends to be the highest-margin product in a flex space because it consumes a mailbox and some front-desk minutes rather than a desk, which is exactly why the paperwork has to be cheap to run.

Thirty minutes. Bring your virtual office plans and we will run a 1583, an intake and a forward end to end during the call.
